Step 01

The Challenge

Client came to us stating their challenges as:

The time it takes to evaluate possible germline candidates, between 10–20 minutes per case, is too long.
Many false negatives and false positives come up despite best efforts, resulting in further waste of time.
It is not possible for the navigator to group cases like High Risk, Clinic bill, Lab bill, etc. without managing patients in XLS sheets, which adds to data accuracy issues and more navigator time is lost.
Communicating with Pts via phone is a significant barrier because of the proverbial "phone tag" issue.
The number of cases staff have to evaluate, to return a viable number of cases, is astronomical, and is simply not feasible for a full time employee to complete in an 8 hour shift.

Delayed testing especially for High Risk cancer cases.
Greatly reduced count of cases processed by the clinic's Germline program, a high impact, high revenue program.

Step 03

Our Solution

We implemented an end-to-end server-based solution as follows:

Our application first automatically evaluates qualifying patients, and categorizes them as High Risk, Clinic bill, Exclusion cases etc.
Next, It presents the data to a navigator to review and edit if needed.
Then the application notifies selected patients via SMS to get patients' opt-in responses.
Finally, the application notifies the providers and testing teams for testing for the opt-in cases.

Step 04

Results

Outcomes after go-live:

Staff time saved: The clinic now processes over 4000 cases a month with less than 1 minute a case, down from 15 minutes of manual chart review.
Patient communication streamlined: no more phone tag.
Counts increased: Clinic is seeing a 50% increase of Germline testing orders, with much less staff time.
Patient satisfaction improved: Patients get tested timely and without the annoyance of the back and forth phone tag with the clinic.
